Plan the booth around the event brief

Begin with the confirmed event name, venue and booth space. Share the organiser documents available to your team, together with your brand materials and the practical needs of the booth. This gives the project a factual starting point.

7P Concepts can then develop the booth concept and prepare 3D visuals. The visuals help your team review the proposed direction before fabrication. They also create a useful reference for discussing how the planned booth will move from design into physical delivery.

Information to prepare for a KLCC or MITEC project

Before the first discussion, gather what is available:

• the event name and confirmed venue;
• the booth number, dimensions or organiser floor plan;
• event dates and any site access information supplied;
• the organiser’s current booth or submission documents;
• brand guidelines, approved artwork and content; and
• the names of the people reviewing the booth.

Do not fill gaps with assumptions. If an item is pending, flag it for follow-up. Venue and organiser requirements can differ by event, so the current event documents should guide the project.

Design, fabrication and organiser coordination

After the concept and 3D visuals are reviewed, fabrication turns the approved direction into the booth elements needed for the project. 7P Concepts includes organiser coordination among its services, helping connect the booth work with the information provided for the exhibition.

The service can continue through on-site installation and handover before the event. Dismantle can also be included after the exhibition. The exact scope should be confirmed for the individual project.

A connected workflow for KLCC or MITEC

KLCC and MITEC are distinct venues, and each exhibition is organised under its own arrangements. This page should not publish fixed access rules, deadlines or technical requirements. Instead, it should direct clients to provide the current organiser documentation and discuss the work required for their event.

Working with one exhibition booth consultancy keeps the concept, 3D visuals, fabrication and site stages connected. It also gives the client a clear contact for following the project through organiser coordination, installation, handover and dismantle.

Exhibiting at KLCC

The following are the Kuala Lumpur Convention Centre’s own published requirements, not 7P Concepts’ policies. They shape what can be built and when.

Hall and access facts (venue)

• The exhibition halls are column-free. Hall 1 measures 29.0 m × 86.61 m with a 9.36 m ceiling (2,502 m²); Hall 2 measures 29.0 m × 80.44 m at the same height (2,332 m²).
• Floor loading is 20 kN/m².
• Loading bay operable doors are 7.9 m wide by 6 m high. Hall 1 has three loading dock bays; Hall 2 has five.
• A vehicle may use the loading dock for a maximum of 15 minutes to unload, and the driver must stay with it.
• Large trolleys and freight are not permitted in guest lifts. Bulky freight needs a specific pass, obtained through the event organiser.

Submission and deadlines (venue)

• A custom stand needs a rendering showing dimensions and structural elements, submitted to the official contractor appointed by the event organiser.
• Exhibitor service orders and permit forms must be submitted at least 14 days before the first move-in day.
• The incentive rate applies only when the order and full payment are received at least 7 days before the event; later orders carry a 30% late fee.
• Freight enquiries are directed to the event organiser, not the venue. The venue’s Exhibitor Toolkit carries loading dock information, rigging points and floor plans.

Where 7P Concepts fits (our scope)

We prepare the stand drawings and renderings for submission through the organiser’s official contractor, plan fabrication so the booth arrives inside the dock window rather than queuing for it, and handle installation and dismantling. Deadlines are the organiser’s and the venue’s; our job is to build the schedule backwards from them.

Exhibiting at MITEC

The items below are from MITEC’s own Event and Exhibition Operational Rules & Regulations. Again, these are venue rules, not 7P Concepts’ terms.

Ceiling and stand height limits (venue)

• Floor-to-ceiling heights: Hall 1, 5.0 m; Halls 2–4, 10.0 m; Hall 5, 7.0 m; Halls 6–8, 7.70 m; Halls 9–11, 13.0 m; Ballroom 1 & 2, 7.0 m; meeting rooms, 3.3 m.
• Booth construction height is limited to 2.5 m in meeting rooms, and to 3 m in Hall 1, Hall 5, the Ballroom, the Gallery and all common and public areas.
• Custom-built stands over 5 m in height must be certified by a structural engineer or the stand builder, and by MITEC’s Health & Safety Officer.

Drawings, approvals and materials (venue)

• Space-only and custom-built stands require detailed drawings — front, side and top elevations superimposed on the floor layout — submitted to MITEC for approval at least 30 days before build-up day, along with material details on the Stand Design Checks Form.
• Covered stands are not permitted unless detailed drawings go to MITEC Safety review together with a certificate of approval from BOMBA, also at least 30 days before the event.
• Floors and platforms in natural timber must be at least 25 mm thick; chipboard or melamine not less than 18 mm.
• Clearances: 3 m across the full width of the hall loading bay roller shutter, 5 m from hall entrances and foyer glass doors, and 1 m from any fire hose.

Access and equipment (venue)

• Loading bay doors are 3.5 m high by 8 m wide for bays 1–5, and 4 m by 8 m for bays 6–11. Trucks need a vehicle entry permit issued for the event.
• Only contractors certified and approved in advance by MITEC may operate scissor lifts.
• Rigging structures connected to structures on the floor are prohibited, and suspended loads require a rigging certificate.

The figures above are taken from the venues’ own published guidance as read in September 2026 — the Kuala Lumpur Convention Centre’s exhibitor information and MITEC’s Event and Exhibition Operational Rules & Regulations (SOP 2025, revision 2, 10 July 2025). Venues revise these documents, and individual organisers add their own rules on top. Always work from the current exhibitor manual issued for your event, and confirm anything load-bearing with the organiser before committing to a design.
